AppFlow is job booking software for Australian trades and home services. The problem with running a trade off the phone is that the phone rings when your hands are full, and the job you miss is the one that goes to whoever answered. A booking page takes the job while you are working, and it knows how long the drive is.
Everything you need, in one place
Switch on what you need today and add the rest as you grow.
Travel areas and travel time
Set the suburbs you cover and the time between jobs, so the diary books around the drive instead of on top of it.
Quotes and deposits
Take a deposit to hold a full day, through your own Stripe or Square account, settling directly to you.
On my way, with an ETA
Staff mark themselves on the way and the customer gets a live tracking link. Sharing stops on arrival.
Job checklists and photos
Attach a checklist to a job type, and keep before and after photos against the job record.
Clock in, clock out, get paid
The team clocks on from the staff app with a live shift timer, and the hours export to Xero for payroll.
Closures and public holidays
Australian public holidays preloaded, plus your own shutdown dates, enforced on booking and reschedule.
Booking-first, not invoicing-first
Trade software generally starts from one of two ends: the quote and invoice, or the booking. Both are valid. Know which problem you are solving.
| What matters | AppFlow | Field service and invoicing tools |
|---|---|---|
| Where the product starts | The customer booking the job | The quote, the job card and the invoice |
| Customers self-booking online | Yes, on your own branded page | Varies, often enquiry forms rather than real booking |
| Your website | Built in, on your own domain | Usually separate |
| Deep invoicing and accounting sync | Xero export for payroll hours, not full accounting | Often the core strength |
| Live ETA to the customer | Built in, staff started, stops on arrival | Varies by platform |
| Pricing | Flat subscription in AUD, no lock-in | Check current plans |
Be honest about which one you need
If your main pain is quoting, progress claims, variations and invoicing across long jobs, a dedicated field service and accounting tool will go deeper than AppFlow does. AppFlow is stronger where the work is bookable: a defined service, a price or a deposit, a time slot and a drive. Plenty of trades run both, and there is no shame in that.
- Best fit: bookable jobs, service calls, recurring maintenance
- Weaker fit: large project quoting and progress invoicing
- Xero export covers payroll hours, not full accounts
The where-are-you call
Every trade knows the call. You are twenty minutes out, the customer has been waiting since eight, and answering the phone makes you thirty minutes out. When the customer can see an ETA on a link, the call does not happen. The staff member starts sharing when they set off and it stops the moment they arrive, so nobody is tracked outside the job.
- Customer gets a link, not an app to install
- Sharing starts when the job starts and stops on arrival
- Fewer calls, fewer complaints about waiting
Common questions
Does it account for travel between jobs?
Yes. Set your service areas and the travel time you need, and bookings are spaced so the drive is part of the day rather than an overrun.
Can I take a deposit before I commit to a full day?
Yes. Take a deposit or full payment at booking through your own Stripe or Square account. The money settles directly to you.
Does it replace my accounting software?
No. AppFlow exports staff clock-in hours to Xero for payroll. It is not a full accounting sync and is not meant to replace your accountant's system.
Can the customer see where my team is?
Only during the trip to their job. The staff member starts sharing when they set off, the customer sees an ETA on a link, and sharing stops when they arrive.
Will it work for regular maintenance work?
Partly, and it is worth being clear about how. There are no repeating bookings that generate themselves. What you can do is set up an automatic follow-up so the customer is prompted to book the next service at the right interval, which keeps maintenance work coming back without anyone having to remember to ring.
