AppFlow gives you two real-time views of your day. For jobs where you travel to the customer, your team works through On my way, Start and Complete while the customer follows a live tracking page. For work that happens at your venue, the Live Floor shows every chair, bay or station at a glance and lets you run each booking with a tap. This guide walks you through setting up both, plus the owner reports that sit behind them.
Set up mobile jobs and live tracking
Mobile jobs are bookings where your team goes to the customer. Once you turn on live tracking, the customer gets a tracking link the moment your staff member heads their way, so they can follow along instead of calling to ask where you are.
- 1
Mark a service as mobile
Open Services, choose the service and turn on Mobile or we-come-to-you. This tells AppFlow to collect the customer's address at booking and to show the on-the-way flow to staff.
- 2
Turn on live tracking
In Settings, switch on live tracking so customers receive a tracking link when a staff member is on their way. You control whether the link shows the live map, the arrival estimate, or both.
- 3
Check staff location sharing
Each team member allows location sharing on their phone the first time they start a mobile job. Location is only streamed while a job is active, never after Complete.
Work a mobile job from your phone
On the day, your staff member runs the whole job from the booking on their phone. Each stage updates the customer's tracking page automatically.
- 1
Tap On my way
When your staff member leaves, they tap On my way. The customer gets their tracking link with a live map and an arrival estimate that updates as the van moves, like following a rideshare.
- 2
Tap Start on arrival
When they reach the customer and begin work, they tap Start. The tracking page switches to show the job is now under way.
- 3
Tap Complete to finish
When the work is done, they tap Complete. GPS streaming stops, the customer sees the job is finished and you can take payment if it has not been paid already.
Tip
Set your travel buffer on each mobile service so the arrival estimate and your calendar both allow for drive time. It keeps the day realistic and your estimates accurate.
Build your floor plan
The Live Floor is for work that happens at your venue. Before you can use it, lay out your space once with the drag-and-drop floor plan builder so each chair, bay or station matches the real room.
- 1
Open the floor plan builder
Go to Settings and choose Floor plan. You start with a blank canvas that represents your venue.
- 2
Drag in your stations
Drag chairs, bays or stations onto the canvas and arrange them to match your layout. Name each one so your team recognises it instantly.
- 3
Link stations to staff or services
Where it helps, link a station to a staff member or a type of service, so bookings land in the right spot on the floor.
Run the day on the Live Floor
Once your floor plan is set, the Live Floor shows your whole venue in one view. Colour tells you the state of every spot at a glance, and a tap opens the booking with the right actions for that moment.
- Black: the chair or station is free
- Green: it is booked
- Red: it is unavailable
- 1
Tap a station to open its booking
Tap any chair or station to bring up the client's booking and their details, without leaving the floor view.
- 2
Use the stage-aware quick actions
The actions match where the booking is up to: check the client in, start the service, finish it, or take payment. You only ever see the action that makes sense next.
- 3
Watch the colours update
As you check clients in and finish services, the floor recolours itself, so a glance tells you what is free and what is in progress.
See the operations map and reports
Owners get a wider view on top of the day-to-day. The operations map and reports help you see how the business is running, not just what is happening right now.
- 1
Open the operations map
The map shows live markers for staff who are out on mobile jobs, plus a customer demand heatmap so you can see where the work is coming from.
- 2
Check revenue by employee
Open Reports to see revenue broken down by team member, so you know who is bringing in what across both field and floor work.
- 3
Check on-time performance
The punctuality report compares scheduled times against actual Start and Complete times, so you can spot where the day tends to run late and fix it.
Tip
Use the punctuality report to set realistic travel buffers and service times. When your estimates match reality, customers trust the arrival times and your floor stays calm.
That is both views in place. Mobile jobs flow through On my way, Start and Complete with a live tracking page for the customer, the Live Floor runs your venue at a glance, and the operations map and reports show you the bigger picture. Each related area, like Bookings and Payments, has its own guide in this Help Center.
